Refund Policy

We build long-term client relationships built on trust and fairness. This policy outlines when refunds apply, how to request one, and what to expect from the process.
1. Overview
At NixoWeb Solutions Pvt Ltd, we are committed to delivering high-quality web and cloud engineering services. Because our work is custom and labour-intensive, refunds are handled on a case-by-case basis in line with the principles below. We encourage you to read this policy before engaging us.
2. Project-Based Engagements
All project engagements require a 50% advance payment before work begins. This advance covers discovery, planning, design, and initial development effort. The advance is non-refundable once work has commenced, as it compensates for time and resources already allocated to your project.
3. Refund Eligibility
You may be eligible for a partial or full refund in the following circumstances: (a) You cancel the project before any work has started — a full refund of the advance is issued within 7 business days. (b) We are unable to begin the project within the agreed start date due to our own capacity issues — a full refund is issued. (c) A deliverable is fundamentally different from the agreed scope and we are unable to rectify it after two rounds of revision — a proportional refund for the incomplete portion will be issued.
4. Non-Refundable Situations
Refunds will not be issued in the following situations: (a) Work has been completed and delivered as per the agreed scope. (b) Delays or dissatisfaction caused by late or incomplete client inputs (content, credentials, feedback). (c) Change of mind or change in business direction after work has commenced. (d) Third-party costs such as domain registrations, hosting subscriptions, or software licences purchased on your behalf.
5. Retainer & Ongoing Services
For monthly retainer or support plans, you may cancel with 14 days' written notice. Any unused portion of the current billing period will not be refunded. No charges will be raised for the following period after cancellation is confirmed.
6. Milestone-Based Projects
For projects structured around milestones, each milestone is billed and reviewed independently. If you choose to discontinue after a milestone payment, work completed up to and including that milestone is considered delivered and no refund applies. Payments for future milestones that have not yet commenced will be cancelled.
7. How to Request a Refund
To initiate a refund request, email us at [email protected] with your project reference, the reason for your request, and any supporting documentation. We will acknowledge your request within 2 business days and aim to resolve it within 10 business days. Approved refunds are processed to the original payment method.
8. Dispute Resolution
We prefer to resolve disputes amicably. If you are unhappy with any deliverable, please contact us first and we will work in good faith to find a fair solution. If a resolution cannot be reached, disputes shall be governed by the laws of India and subject to the jurisdiction of courts in India.
9. Changes to This Policy
We may revise this Refund Policy from time to time. Updates will be posted on this page with a revised "Last updated" date. Continued engagement with our services after changes constitutes acceptance of the updated policy.
